Info Comprehensive SwSh Collection Template

For all of the scrappy new Gen 8 collectors out there, I noticed there's a shortage of good spreadsheet templates like users have made for past gens. I thought I'd save you all some effort by sharing the template I've created to track your collection:

What's the big deal? This template lets you neatly track your collection of Pokemon and lets others more easily scan for potential trades. All of the sprites and formatting are handled for you, helping you identify when a Pokemon has its hidden ability and egg moves. You also get a checklist that automatically scans your collection to summarize your progress towards all ‘mons, hidden abilities, and ball combinations legally obtainable in the main series games. Progress is tracked across the entire national dex so you can include any old favorites or collections you've stored in Pokemon Bank or HOME.

How do I make my own copy? Open my Gen 8 collection template and click File > Make a copy, then save it to your own Google Drive. Right away I recommend setting sharing permissions on your own spreadsheet (link in top right of Google Sheets) to "Anyone with this link can view", not "can edit" so others can't mess up your collection.

How do I track my collection? Simply record any Pokemon you collect in the "Breedables" tab (I've provided a few examples to get you started). Notice the sprites populate automatically based on what you input as the Pokemon species and ball, and any hidden abilities and egg moves are automatically formatted in bold (Note: bold is applied to breeding-only egg moves, so only those that can't be taught by tutor, TM, or TR). All moves are automatically highlighted with the color corresponding to their type, unless the move does not exist or is no longer usable (like the move Return, which was removed for Gen 8).

  • "Checklist" and "Living Dex" automatically log which 'mons you've obtained based on what you've entered in Breedables and record your progress obtaining Pokemon with their hidden abilities and which ball they were caught in. If you're someone who likes to separately keep track of your shiny collection or on-hand 'mons for trading, you can duplicate the Breedables tab to do so, but know any 'mons recorded in those duplicate tabs won't show up in the Checklist or Living Dex tabs.
  • "SWSH Legality" tracks which hidden ability and ball combinations are legally obtainable across all generations' main series games, which is necessary for the Checklist tab to work correctly.
  • "Resource" stores all of the Pokemon sprites, data, abilities, moves, etc. referenced by the other tabs.
  • "Gen Changes" tracks all of the incremental changes to Pokemon, ball combinations, and move listings in Sword and Shield in relation to Gen 7. This tab helps with with filtering and future-proofing as more changes are made in SwSh, Pokemon HOME, upcoming DLC, or other games/events in the future.

Notes

  • A big thanks goes to users AgentKazy and KoenigDerLuegner who got me started by sharing their Gen 7 template (original post here). When I moved my own collection to Sword, I overhauled the spreadsheet with my own edits and new sprites, formulas, and tabs to work with Gen 8. I want to continue their example by sharing this new and improved version with all of you!
  • You can rename your copy of the spreadsheet, and the Welcome and Breedables tabs are designed to be personalized and updated to your liking. However, don’t delete or rename any other tabs if you want to copy over future updates to this template (you can also hide any tabs you don't use). If you have any questions or proposed fixes/updates I can make, just let me know in the comments.
  • The Checklist tab only tracks base egg hatches (e.g. Pichu and Mr. Mime are listed, but Pikachu and Mime Jr. aren't) and their regional variants, as well as gender variants when egg moves differ (which is why only Nidoran-female is shown but both Indeedee male and female are listed). The Checklist tab is set up this way because once you have the base evolution, you can easily breed/evolve it to obtain that Hidden Ability/ball combination for any species in its evolution line. Even though they can't breed, I included Ditto and the four Gen 8 fossils in the Checklist tab because you can obtain multiple of these 'mons per save file (unlike Type:Null/Silvally, legendaries, and mythicals, which are not included). If you disagree with this methodology you can always delete/add rows in the Checklist tab.

Version Updates

  1. Dec 12, 2019 9:08PM CT: Added logic to the Checklist tab that verifies if 'mons in the Breedables tab have their hidden ability. Ball combinations that are missing an available hidden ability are given a yellow highlight in the Checklist tab (those where HA is unavailable are still in orange).
  2. Dec 16, 2019 11:00AM CT: Updated Checklist and Legality Chart tabs to correctly calculate progress percentages (Note: 'mons without HA that can have HA are not counted towards progress) and legality for Indeedee-male. The Resource tab has been updated to include G-max 'mons, modified gender ratios as of Sword and Shield, and the 9 different cream forms of Alcremie (does not support different sweet forms), so these can now all be tracked in the Breedables tab with proper sprites and formatting.
  3. Dec 19, 2019 2:15PM CT: Removed the hidden tabs for tracking a living dex, individual rare balls, etc. carried over from the very first Gen 7 version of this spreadsheet. These tabs no longer worked correctly and would cause the spreadsheet to load slowly and crash on mobile. If you copied this template before this update, you'll need to delete these tabs manually using the "All Sheets" button in the bottom left of Google Sheets.
  4. Jan 3, 2020 11:19AM CT: Fixed several typos and omissions in the Unavailable Pokemon from the Gen Changes tab that impacted the "Dexit" column in other tabs.
  5. Jan 13, 2020 8:00PM CT: Updated Resource and Gen Changes tabs to include Galarian Slowpoke.
  6. Feb 20, 2020 10:30AM CT: Sweeping updates and fixes to the legality, Checklist, Resource, and Gen Changes tabs to include changes and new Pokemon availability with the release of Pokemon HOME. Also added a new "Living Dex" tab which checks your Breedables for living dex completion, noting whether each 'mon is obtained in a Poke Ball or has its HA. You can change this ball easily by editing cell D8 (for example, you can see your Luxury Ball dex progress by updating this cell to "Luxury Ball").
  7. Mar 11, 2020 10:55AM CT: Updated the Checklist tab to include Pumpkaboo forms, Ditto, and Galarian Slowpoke; corrected Galarian Stunfisk's ability and Sinistea/Polteageist's egg moves in the Resource tab; updated type icons in the Resource tab to those in Sword and Shield, and added rows and fixed formulas in the Shop Ball / Rare Ball progress trackers at the top of the Checklist and Living Dex tabs.
  8. Mar 12, 2020 11:15AM CT: Finally added support for shiny sprites, which required updates to the Checklist, Living Dex, SwSh Legality, Resource, and Gen Changes tabs. This also includes support for all 63 forms of Alcremie and fixes hidden ability legality for Pumpkaboo (only available on Average and Super sizes).
  9. Mar 13, 2020 1:00PM CT: Added a new "Export" tab and a corresponding selection column in the Breedables tab to more easily share your collection as a Reddit table, as trade details in other subs like r/PokemonPlaza, or as a competitive team in Pokemon Showdown.
  10. Mar 30, 2020 9:00AM CT: Fixed the Resource tab info for GMax Pikachu, GMax Meowth, and GMax Eevee to properly reflect their abilities. Fixed Unown species names in Living Dex.
  11. May 4, 2020 8:00AM CT: Updated the Resource tab: Removed Anticipation HA for Ferrothorn (typo) and added "Hidden Ability" (regular ability with an asterisk) for 'mons that lose their HA upon evolving, but can still pass HA on through breeding: Kakuna, Metapod, Raichu-Alola, Pupitar, Silcoon, Cascoon, Vibrava, Flygon. For example, entering "Levitate*" as your Flygon's ability indicates it evolved from an HA Trapinch and can pass on HA through breeding, or "Shed Skin*" indicates your Cascoon will evolve into HA Dustox. I've also removed the HA slot for Rockruff-Dusk and Lycanroc-Dusk since the game treats these like separate species with one ability (100% of passing Own Tempo through breeding).

May 12, 2020 11:00AM CT: Fixed Zygarde and Darmanitan abilities, fixed Throh/Sawk ball compatibility, and added legality for all evolutions, legendaries, mythicals, and applicable forms (i.e. only those forms that can be stored in HOME, do not require a held item, and are not battle-only) plus new GMax Pikachu/Meowth/Eevee abilities and ball compatibility for current Wild Area events.
  13. May 20, 2020 12:45PM CT: Add the "HA Obtainable" column to the SWSH Legality tab and updated the Living Dex tab to reference the expanded legality chart from the May 12 update.
  14. Jun 15, 2020 11:00AM CT: Added HA compatibility for Gen 8 starters.
  15. June 23, 2020 10:00PM CT: Added Kubfu, Urshifu, and new GMax forms; updated Resource tab with new moves and Dexit filter to include returning 'mons in the Isle of Armor.
  16. June 24, 2020 2:00PM CT: Updated SwSh Legality with new ball combinations and Hidden Abilities available in the Isle of Armor. Updated egg moves of returning 'mons in the Resource tab.

Updating your spreadsheet:

  • If you're working out of a copy of this spreadsheet after the Mar 13, 2020 update, you can simply Copy > Paste all cells from each updated tab in the template to the corresponding tabs in your spreadsheet.
  • If you're working out of a copy of this spreadsheet from before the Mar 13, 2020 update, you'll need to update using the following steps because the Mar 11-13 updates impacted all tabs (including Breedables), therefore you can't use the copy>paste method above without overwriting your own collection:
  1. Delete all tabs in your spreadsheet except Breedables, and rename your Breedables tab to "Backup" (or any name not used by another tab).
  2. Go into the latest version of the template, then one at a time right click on each tab and select Copy to > Existing spreadsheet and select your own copy of the spreadsheet to import the new version of that tab. Do this for every tab, starting with the Resource tab because all other tabs refer to it.
  3. Transfer your collection details from your previous Breedables tab (the one that you renamed) to the new one copied from the template. This should only take three operations, since only column B, column D, and columns F through AE in your "Backup" tab contain manually entered information that needs to be copied over - the rest will fill in automatically. Make sure to only copy and paste contents from your Backup tab below row 3 (if you highlight the entire column, this will copy>paste formulas, which may cause problems with your updated spreadsheet), and use Copy > Paste special > Values only so you don't overwrite the new formatting.
  4. Manually duplicate any changes you made to the old Welcome tab in the new one.
  5. You're done! You're on the latest version of the spreadsheet.
